Brief description in terms of automation

Pre-project research of the enterprise is carried out for a thorough analysis of the existing business processes of your company in order to build Terms of Reference task (ToR), based on which the development of an information management and accounting system will take place.

Stages of PPS:

1. Definition of activities of automated enterprises. Organizational structure of the enterprise, if any.

2. Project goals and directions of their achievement.

3. Defining the functional and organizational framework of the project. Project phases (queues), if any.

4. The list and actual scheme of interaction of the existing software at the Company’s enterprise, which will be involved in the implementation or for the transfer of source data.

5. Brief description in terms of automation (in terms of functional areas) in BAS ERP 2.5 of business operations and links of business processes of the enterprise: current state, requirements and expectations of the Client regarding the target state. Functional areas:

  • Production and cost management, including operational management and planning;
  • Purchasing, sales and inventory management;
  • Management accounting;
  • Financial management and financial analysis;
  • Management personnel accounting and management salary accounting;
  • Managing regulatory and reference information;
  • Integration with weighing equipment and PDT.

6. Identification of issues in functional areas that require more detailed methodological elaboration at the stage of the implementation project.

7. Planned architecture, a scheme of interaction between the proposed and existing software and determination of what tasks each software product will be used for.

8. Minimum requirements for servers, networks and hardware infrastructure.

9. Approximate list of system developments for each functional area.

10. Preliminary cost estimate of implementation services and preliminary phased implementation schedule: estimation of project duration and resource requirements.

The client usually has an understanding of internal processes and tasks, but no understanding of what information product to use, while we have experience and competence in the product. The only thing you need is an accurate understanding of the client’s processes and the ultimate task to be solved. Pre-project survey allows for conducting a full information exchange and form a common vision of the future project, its boundaries and functionality, taking into account the specifics of the client and the experience and competencies of the contractor.

    To determine the scope of the project, the scope and cost of works, it is necessary to conduct a pre-project survey of the enterprise (PPS).

    The objective is to study the existing business processes of the Company for the subsequent formation of the Terms of Reference (ToR).

    Pre-project survey is a set of measures aimed at studying the structure of the company, its business processes, interaction of departments and structural units with each other, as well as studying the existing software of the enterprise, its efficiency and opportunities for potential integration and expansion of functionality in order to identify issues and tasks for further automation.

    The methodology of the pre-project survey lies in the sequential implementation of the following fairly broad stages of work:

    1. The first stage is the analysis of the company’s business processes and all documentation of organizational and management accounting. Study of the draft organizational and management documentation of your enterprise selected by the team. This documentation includes the following types of documents: organizational structure, regulations on accounting and management accounting policy, regulations on planning, economic analysis, etc. (if any), staffing, regulations on departments, business process diagrams (if any), job descriptions, types of documents that are handled in the field.
    2. Interviews of responsible persons and key users of the enterprise to draw up a descriptive and coherent picture of the functioning of the departments, the relationship between them and with external parties, as well as to identify the needs of your enterprise and the requirements of responsible persons for the future automation system in the context of functional areas and departments. Identification of industry and individual specifics of the enterprise; A survey of employees is necessary to better understand the overall picture of the interaction of different departments, as well as to identify corporate needs and requests for the deployment of a business automation system, as well as diagnostics of technical equipment and computer networks.
    3. Description of the network infrastructure and computer (server) support, analysis of specific technical aspects of the enterprise. Diagnostics of the existing software of the company, analysis of completeness and adequacy of data to determine the feasibility of transferring information to a new automated system and the choice of a software product (or combination of software products) that best meets the needs of the company.
    4. Analysis of the functionality compliance of the selected software product with the needs of the business processes of your enterprise in the form of an analytical table of functional areas and accounting sections. Formation of a list of possible necessary modifications and system settings.
    5. Analysis of existing automation systems at your enterprise, analysis of completeness and adequacy of data in these systems. Description of procedures to bring these data to the real data of the enterprise, to assess the possibility of transferring the accumulated information to the new accounting system. The list of significant transformations and process settings is formed after studying the compatibility of the selected software product with the requirements of the company’s business. Also, the development and design of information systems begins.
    6. Analysis and development of recommendations on the implementation process and data organization in the system, analysis and development of solutions for integration with other systems and equipment. Recommendations for changing server hardware and/or network infrastructure. Analysis of possible project risks. In the process of analysis, our specialists clearly formulate the tasks to be performed at the implementation stage, describe possible risks and ways to minimize them. This document contains, in addition to the previously mentioned information, a list of project objectives, characteristics of structural units (subdivisions), schemes of the main business processes, as well as the calculation of the preliminary budget for the project implementation and the project estimate.
    7. The Terms of Reference for the design of the information system, a description of the timing, cost and resource costs of the future project both from the point of view of the client and the contractor, a description of the project objectives, characteristics of the structural units of the enterprise, as well as a preliminary list of improvements and modifications of the system are developed.
